SCA (Vic) Corporate Strata Management Company Membership Application Form

This form must be a declaration by the Corporate Nominee of the Company/Business or a person authorised by the Corporate Nominee. The Corporate Nominee is usually the Owner or Principal of the Company/Business.


Membership period 1 July 2024 - 30 June 2025


Your membership cost is determined by the amount of lots managed by your Company/Business. Only residential and commercial lots are assessed (not car parks). The cost structure is below:


From zero lots to 1,290 lots - Minimum fee $900 (excl. GST)

From 1,291 lots to 6,500 – number of lots $0.70 (excl. GST)

For lots up to 6,500 - number of lots $0.70 (excl. GST) for the first 6,500 and those above are $0.53 (excl. GST)


Membership fees are calculated pro-rata per annum from SCA (Vic) Board approval date. Membership fees will include pro-rata for Financial Year 2023/2024 if joining before 1 July 2024.


Membership includes an unlimited number of Owner Corporation (Strata) Managers and Support Staff.


As per the Constitution, membership applicants, Corporate & Individuals will be circulated to members via advertising names in the members section of the website. Existing members have 30 days to notify SCA (Vic) Board of any relevant matters. After these 30 days the application will be considered at the first opportunity at the meetings of the SCA (Vic) Board. Once application has been considered by the SCA (Vic) Board, the applicant will be informed of the result.


Note: Individuals who do not currently hold membership must submit an individual application with all supporting documents (as applicable) and receive SCA (Vic) Board approval. After this time, new members will be notified and member benefits will be available to the new member.


Privacy Policy: The data provided by your organisation shall remain confidential by SCA (Vic) and SCA National. By Board resolution, SCA (Vic) and SCA National are not permitted to disclose this information to other parties, including Board members, in a manner that would identify an individual Company/Business.

Supporting Information and Documentation

All supporting documentation must be provided to SCA (Vic) before the application can be considered complete. Only completed applications will be listed on the website for 30 days before going to the SCA (Vic) Board for consideration.

Corporate Nominee Details

The Corporate Nominee is the main point of contact for the Company/Business. All correspondence related to Corporate membership will be sent to the Corporate Nominee. The Corporate Nominee will have the ability to log in to view staff details (including CPD history) and pay membership/event invoices online. The Corporate Nominee must notify SCA (Vic) of any necessary changes (e.g. add or remove staff, change of address, or change of ownership to the Company).

Company Administrator

As per the SCA (Vic) Constitution, it is required that each Corporate Nominee must advise of a further contact with details. This individual within your organisation will receive communications from SCA (Vic) and have the ability to log in to view/update staff details (including CPD history) and pay membership/event invoices online. The Corporate Nominee will remain as the main point of contact.

The Corporate Nominee and the Company Administrator must be distinct individuals.


Individual Staff Membership Application Forms

Your Corporate membership allows all of your staff complimentary Individual membership.


A requirement of Corporate membership is that at least 80% of your Owners Corporation (Strata) Managers must hold Practising membership.

Owners Corporation (Strata) Manager

Membership for individuals employed as an Owners Corporation (Strata) Manager. To maintain Practising member status, the individual must achieve a minimum of 6 CPD points per annum. CPD points will be calculated on a pro-rata basis, with 0.5 CPD per month.


Affiliate (Support Staff)

Membership for individuals employed by the Company/Business who are not employed as an Owners Corporation (Strata) Manager. CPD requirements are not a membership requirement for Affiliate members.

Declaration

In the last 12 months, has an Owner or Director of the Company/Business been convicted of any offence involving a criminal charge, or is there any charge pending?*
In the last 12 months, has an Owner or Director of the Company/Business been a debtor in any Sequestration Order, Deed of Assignment, Composition, or Deed or Arrangement under the provisions of the Bankruptcy Act?*
In the last 12 months, has an Owner or Director of the Company/Business been a Director of a company to which a Receiver, a Provisional Liquidator, a Liquidator, a Scheme Manager, or an Official Manager has been appointed while they were a Director, or within six months after they ceased to be a Director?*
In the last 12 months, has the Company/Business/Director/Owner been refused membership of a statutory, professional or other body relating to professional capacity of the Company/Business/Director/Owner?*
In the last 12 months, has the Company/Business/Director/Owner been subject to disciplinary proceedings by a statutory, professional or other body in respect of professional capacity?*

Advertising as a member: The Corporate membership may be advertised by the Company/Business and all individual members of that Company/Business. An electronic image is available from SCA (Vic) for this purpose.


Voting Rights: Corporate Nominees and Practicing Individual members carry the right to vote. Provisional and Affiliate (Support Staff) members shall not carry the right of voting at any meeting of SCA (Vic).


Certificate of Membership: Each Corporate membership will be issued a Certificate of Membership once all membership criteria is satisfied.

CPD/Ethics Requirements

The Corporate Nominee for the Corporate Strata Management Company Membership, in line with the SCA (Vic) Constitution, must meet the Corporate Nominee membership requirements - including the CPD points requirement.


If requirements are not met by the Corporate Nominee, the Corporate membership will not meet renewal requirements and cannot be renewed. If joining throughout the membership period (1 July to 30 June), CPD points are calculated pro-rata per annum. The Corporate Nominee's CPD points will be verified by SCA (Vic) for compliance and renewal eligibility.


A minimum of 50% of the total required CPD points must be achieved through SCA-facilitated activities and events. The remaining 50% can be achieved through SCA or external training.


If the Corporate Nominee has not met renewal requirements the Corporate membership cannot be renewed.

SCA (Vic) has created an 'Ethics in Strata Community' short online course which is compulsory for all Corporate Strata Management Company members to complete.


Before this application can be submitted for Board approval, you must complete this course. On receipt of your membership application (with all required documentation) a profile will be created for you on our membership system and login details will be provided to you.


The 'Ethics in Strata Community' short online course will be allocated into your profile and you will receive instructions via email on how to access the course. If the 'Ethics in Strata Community' is not completed within 14 days of receiving the notification with access details to the online course, your membership application will be void.

As a Corporate Strata Management Company, you must obtain and maintain Professional Indemnity insurance as prescribed in the Regulations. The current prescribed minimum for Professional Indemnity insurance coverage is a minimum cover of $2 million.


I hereby confirm that the Company/Business subject to this membership holds an appropriate level of Professional Indemnity Insurance and will continue to maintain an appropriate level of Professional Indemnity (PI) Insurance for the duration of this membership. A valid PI Insurance Certificate must accompany the application.


It is the responsibility of the Corporate Nominee to submit a further valid PI Insurance Certificate to SCA (Vic) at membership.vic@strata.community if the PI Insurance Certificate expires before 30 June 2025. The SCA (Vic) must be in possession of a valid PI Insurance Certificate at all times

5. I hereby confirm that if the Corporate Strata Management membership is terminated, the Company/Business and all individuals within the Company/Business will comply with clauses of Section 11 of the SCA (Vic) Constitution - Cessation of Membership.


6. I accept that this declaration includes all Individual members (Affiliates, Provisional and Practising) attached to my Corporate Strata Management Company membership. Their individual memberships will cease when I notify SCA (Vic) they are no longer employed by the Company/Business.


7. I acknowledge that SCA (Vic) does not provide a guarantee for the growth of my business.

Cancellation Policy: Your membership may be cancelled should you breach the SCA (Vic) Code of Conduct and good business practice within the strata industry. There will be no refund if your membership is cancelled. No refund will be provided by SCA (Vic) should you wish to cancel your membership during the calendar year. SCA (Vic) reserves the right to cancel membership should payments not be received.


If your membership is cancelled during the 2024/25 financial year, to reinstate your membership at any time before 30 June 2025, payment of the full year 2024/25 is required. If outside this period, reapplication for membership is required.


Payment Policy: Invoices must be paid promptly within the 14 day period specified on the invoice. SCA (Vic) will provide members with a reminder email should payment not be received within 14 days. If payment is still not received upon receipt of the third reminder, membership and all associated services provided by SCA (Vic) will be automatically cancelled. In this case a member is not allowed to advertise the status of membership on any stationery or online media. Should a member wish to rejoin immediately after cancellation of membership was issued, a $250.00 administration fee is applicable.
