Will your student hire require a background check?


If your student will be handling any of the following functions, you will need to request an IOC for the background check:

  • Work with minors (anyone below the age of 18)
  • Handle cash/credit transactions
  • Manage access to keys, facilities, or equipment
  • Access to sensitive donor or constituent information and databases
 

If your position requires a background check:


You will receive a copy of the IOC (interdepartamental order which is needed to pay the cost for the background check) once it has been signed by a representative of TOM.


In response to changing regulations, UC Berkeley will limit the types of positions that will require job candidates to submit biometric data/Livescan (i.e. fingerprints) for pre-employment background checks. These changes will reduce barriers to employment for people with a criminal conviction history while maintaining a safe workplace for all. The changes also provide the same level of security in candidate background screening, while significantly reducing transaction times. Please download and fill out the Additional Background Check Questionnaire form and include it in your Service Hub request.

 

For Staff Recruitments


All positions will need to be approved and classified in Job Builder JDX by Berkeley Compensation.


If the job description is not classified in JDX OR you have a classified Job Description in JDX and plan to change 50% or more of the job, you will submit an HR Service Hub ticket for Classification.

  • After receiving the position number you will update the JD in JDX with this information.


If the job description has already been classified by Berkeley Comp in JDX and there will be no changes OR you will be making minor changes (using a one step workflow in JDX), you can skip this Classification step.


Once you have the classified JDX Job Description, you will then submit an HR Service Hub ticket for Recruitment. Please be sure to attach/include the following information:

  • Classified/Approved JDX Job Description
  • Signed IOC
  • Completed Additional Background Check Questionnaire form
  • Approved salary range for posting from Kim Sapp Dinwiddie
  • Position Number
  • Chartstring
  • Background check question marked "Yes"


To avoid delays please ensure you include all of the information above. Your request will not be approved if any information is missing.


You will list Iris Lopez-Murcia as Approver 1 and Veronica Tran-O'Leary as Approver 2. Do not forget to add our HR Partner, Veronica Alvarez and Iris Lopez-Murcia to the watch list.

Please follow the steps laid out in the Hiring Students at UDAR page of our website. Other than providing you with the position number and IOC if needed, TOM is not involved in the student hire process.
