for Group Travel
To ensure that the University has the information necessary to respond in the event of a critical incident, student travel that exceeds twenty-five (25) miles from the University site where the student is currently enrolled must be registered.
Domestic Student Travel Registration Options
Group Travel Registration – Student Enrollment Using Webform
Step 1 – The Trip Organizer or designee must register each trip using this form.
Step 2 - The Trip Organizer will receive an email with a custom webform link for Students to enroll in the trip using a webform. The Trip Organizer must provide the students participating in the trip with a custom webform link to complete their enrollment.
Step 3 - The Trip Organizer can monitor their trip rosters online (Must use NETID email i.e. jhg123@msstate.edu) and download an enrolled student contact list before traveling. A link to the trip roster will be provided in the confirmation email.
Please note that this option should only be used for travel to a single location (city). If traveling to multiple locations (cities), the Excel roster should be used; see notes below.
Group Travel Registration – Student Enrollment Using Excel Roster
Step 1 - The Trip Organizer or designee must download the Excel Domestic Student Trip Travel Registration Roster and follow the instructions in the Excel document. The Excel roster can be saved and used for multiple locations (cities) or multiple trips.
Step 2 - The Trip Organizer or designee must register each trip using this form and attach the Excel roster.
Step 3 - The Trip Organizer will receive an email confirming registration. The Organizer can monitor their trip rosters online (Must use NETID email i.e. jhg123@msstate.edu) and download an enrolled student contact list before traveling. A link to the trip roster will be provided in the confirmation email.
Multi-Location (city) Trips
Step 4 (Optional) - The Trip Organizer or designee should submit a Group Travel Registration Form for each location (city) if the trip involves multiple locations (cities), attaching the Excel roster with a unique Group Trip ID for each location. i.e., if a class trip is traveling to Jackson, MS, and then Gulfport, MS, on a single day or over multiple days, two trip registrations must be entered. The same Excel form may be attached to each entry, but a unique Group Trip ID must be generated for each location.
