Adjunct Initiate to Hire Request

Hiring for Adjunct faculty is a collaborative effort and engages Academic Affairs, Human Resources employment staff, the Hiring Department, and the selected candidate. To avoid delays in the process, please review your entry to accuracy before submitting.


Please note that late submission of the Initiate to Hire Request form may result in delays in payment to Adjunct Faculty. Recommended submission is 1-2 weeks prior to semester effective date.


Human Resources cannot initiate pre-hire processes without signed offer letter and completed Adjunct Request Form.


This form is intended for NEW HIRE adjunct faculty requests only. Please reach out to Academic Affairs (aaffairs@tarleton.edu) and your department budget specialist for additional job, transfer, and data change actions.


Adjunct New Hire Process


1. Candidate Applies to Evergreen Posting in Workday

  • Department Head conducts Interview/Selection process
  • Hiring Department confirms willingness for employment by extending verbal offer and offer letter, and outlining next steps


2. Request (unofficial) transcripts for new adjuncts


3. Send Adjunct Request Packet to Academic Affairs - Packet Includes:


4. Academic Affairs approves the hire, credentials the Adjunct, then sends an email to Department Head notifying of approval to hire Adjunct Email will include the following:

  • Information from the Adjunct Request Form
  • Extend the firm offer

                       - General (flexible salary and flexible payment schedule)

                       - Specific (terms are set)


5. Submit the Initiate to Hire Smartsheet for processing

  • Attach signed Adjunct Request Form and signed Offer Letter


8.Human Resources reviews Offer Letter and Adjunct Request Form, then initiates pre-hire processes. Your adjunct will complete the following:

  • Background Check
  • Adjunct & Faculty Information Request Form
  • Federal Form I-9


9. Academic Affairs Initiates NEW direct hires, additional jobs, and transfers in Workday upon receipt of background check notification by Human Resources


10. Academic Affairs assigns Banner ID and requests NTNET credentials for Adjunct hire upon completion of Background check and receipt of Adjunct & Faculty Information Request Form


11. Workday processing routes to respective approvals


Academic Affairs is responsible for entering NEW HIRE adjunct actions. Department budget specialists are responsible for entering ADD JOB, TRANSFER, and REHIRE actions.


*a previous employee that has been terminated and is seeking adjunct employment is considered a rehire and is subject to new hire processes, including background check and new federal form I-9.

If the adjunct will be teaching from a location other than campus, they are considered remote, and an AWL is required. Your adjunct hire will need to submit a Flexible Work Arrangement Request in Workday.

Next Steps

Contingent on receipt of all required documentation, your adjunct will receive an email from Human Resources containing instructions to complete three tasks:


1. Background check (adjunct will receive an email from noreply@sterlingts.com with login credentials and instructions to complete their background


2. Adjunct & Faculty Information Request Form (adjunct will click the link in the email and complete all required fields.)


3. Federal Form I-9 (upon selection of remote/in-person I-9 verification, adjunct will receive two emails from donotreply@perfectcompliance.com with login credentials and instructions on how to complete the form


Upon completion of the background check, Academic Affairs will enter any new hire actions and request NTNET credentials to grant Canvas access. Please reach out to aaffairs@tarleton.edu for additional information.
