BCB London 2025 - Alcohol Licensing & Stand Sampling Declaration

Tobacco Dock is licensed for the sale or supply of alcohol. In order for venues to ensure that these activities comply with the Licensing Act 2003, and their own Premises Licensee Conditions, we are required to provide full details of any sampling. Tobacco Dock regulations state that all food and drink to be consumed on or given away from a stand (other than exhibiting company's own branded products) must be purchased from Tobacco Dock Food the venue's catering service partner, kindly send email to marco.araujo@tobaccodockfood.com. All exhibitors must complete and return this form ASAP.

Food and drink sampling is permitted at BCB London 2025 provided that the following guidelines are adhered to:

Any food to be given out on your stand must be ordered through Tobacco Dock Food - pre packaged food is okay to bring into the venue as long as it is sealed.

Drinks are within the appropriately sized glasses

No alcohol is to be served to those under the influence of too much alcohol. Please get in touch with a member of security or the organiser if in doubt.

Personal Licensing

Under the Licensing Act, Tobacco Dock are licensed for the sale or supply of alcohol under their Premises Licence conditions. However, the Act now requires any sale or supply of alcohol to be carried out under the approval of a personal licensee. All exhibitors supplying alcohol samples must have a personal licence holder present on site (in some instances, a named, authorised representative may suffice) and comply with the venue’s Premises Licence conditions. Please note, if you do not have a personal licence holder within the organisation, then the organisers can apply for this on your behalf (only for non UK company's).

The serving of Alcohol at BCB London

The below applies to all exhibitors offering alcohol for sampling or consumption at their stands during BCB London.


Staff serving alcohol must be briefed on the Licensing Act 2003 requirements, including:

  • No sales or supply to those under 18 (the legal age for purchasing alcohol in the UK).
  • No service to intoxicated individuals.
  • All exhibitors should have a personal license holder present on their stand to demonstrate competence in managing alcohol service.
  • Challenge 25 policies should be adopted: request ID (e.g., passport, driving licence, or PASS-accredited card) from anyone appearing under 25.
  • Exhibitors must ensure staff serving alcohol are trained in responsible service practices, including recognizing intoxication and refusing service to minors (challenge 25) or intoxicated individuals.
  • An incident register must be maintained to log any alcohol-related issues (e.g., underage attempts, intoxication), and incidents must be reported to the organisers office immediately.
  • Exhibitors must comply with local health, fire, and safety regulations, ensuring alcohol service does not compromise the safety of attendees or staff.
  • Access to stands must be supervised to prevent unauthorized consumption.
  • The exhibitor is responsible for ensuring compliance with this policy and applicable laws. Failure to comply may result in cessation of alcohol service, removal from the exhibition, or legal penalties as outlined in the Licensing Act 2003 or local regulations.

Exhibitors providing food or drink must carry out and document a thorough food safety risk assessment know as a HACCP plan. The Hazard Analysis and Critical Control Points plan must consider the hazards and focus on measures in dealing with them. This includes the sale or supply of alcohol. Within the HACCP plan or separately you must also detail your allergen management plan. Within this you must recognise the possibility of illness or even death caused by an allergic reaction. The allergen management plan must include the following:

  • Accurate and verifiable information available for the consumer to review
  • Listing the 14 names allergens
  • Signage advising the consumer that this information is available
  • Recognition that consumers may have intolerance to a wide range of foods
  • Effective segregation of foods containing allergens
  • Procedures to be followed in case of allergic reactions. You will not be required to submit this in advance, however you must have a copy of this available if requested.

As an exhibitor, you agree to be present for the full duration of the show, with at least one staff representative being at your stand at all times.
