Purpose of Accessibility Services (ASO):


To provide reasonable accommodations for students with disabilities and learning differences in compliance with the Americans with Disabilities Act (ADA). Disability is defined broadly as a physical or mental impairment that substantially limits one or more major life activities.


Necessary Documentation for Accommodation Requests:


  • Complete the ASO intake/request form.
  • Submit documentation of your disability completed by an appropriate professional, preferably within the last five years.
  • Older documentation will be considered if recent documentation is not available.
  • Guidelines for documentation and qualifications for diagnosticians are available on the Accessibility Services webpage linked here. This will assist your diagnostician in preparing your professional documentation of disability.


Time Frame for Processing Accommodations:


  • It is recommended to request accommodations at least 1 week before the start of each semester or as soon as the need arises.
  • Delays in providing information can lead to delayed accommodation approval.
  • The typical processing time is 1-2 weeks.
  • During peak times at the beginning of the semester, wait times may be extended by an additional 1-2 weeks due to the high volume of requests.
  • Intake/request forms are processed in the order they are received.
  • The ASO will review requests/documentation and contact students for clarification if needed.


Meeting with the ASO Coordinator:


  • In-person or remote meetings with the ASO Coordinator are recommended to discuss accommodations, expectations, and answer questions.

Notification of Approved Accommodations:


  • Once accommodations are approved, the ASO will notify the professors of the student's current courses.
  • Professors may need up to one week after receiving notice to arrange the accommodations.
  • ASO will send a Letter of Accommodation to the student email address after his/her professors are notified.

The goal of Grayson College ASO is to assist students in the successful completion of their courses by providing timely and appropriate accommodations. In higher education, the provision of accommodations is a shared responsibility between the institution and the student. This is a crucial understanding for students with disabilities seeking support.Please carefully read the following student responsibilities.


Documentation Criteria:


  • Understanding Grayson College's Criteria: Grayson College's documentation requirements for disabilities and accommodations may differ from other institutions and licensing boards.
  • Licensing Board Requirements: Students in programs leading to licensing exams are responsible for understanding and submitting documentation according to the specific requirements and timelines of the relevant licensing board. This information can be found on each licensing board's website.
  • Transferring to Other Colleges: Students planning to transfer are responsible for contacting the accessibility services office at the new institution to understand their documentation requirements.


Timely Completion of Activities:


  • Confirming Professor Notification: Students are encouraged to confirm with their professors that notification of their approved accommodations has been received. They understand that it can take up to one week for professors to prepare accommodations after receiving notice.
  • Submitting New Requests Each Semester: Students must submit a new accommodation request form at the beginning of each semester to renew accommodations. However, they do not need to resubmit supporting disability documentation each semester.
  • Regular Class Attendance: Students are expected to attend class regularly.
  • Timely Completion of Assignments: Students are responsible for completing all class and homework assignments on time. They understand that due dates for assignments with deadlines of one week or more will generally not be extended.
  • Technical Issues Not an Excuse: Students understand that technical issues and computer malfunctions are not acceptable reasons for late submission of assignments.


Services for Students with Hearing Loss:


Students utilizing services such as ASL interpreting, CART, or supplemental note-taking have additional responsibilities due to the need to contract with service providers:


  • Punctuality: Be on time for all classes and appointments where services are provided. Service providers typically wait for 15 minutes only.
  • Notification of Absence: Notify the ASO Coordinator as soon as possible (preferably with more than 48 hours' notice) if unable to attend a class or scheduled event, or if services are not needed for a class (including professor cancellations).
  • Notification if Services Are No Longer Needed: Immediately inform the ASO Coordinator if these services are no longer required.
  • Unexcused Absences: Tardiness beyond 15 minutes or failure to provide timely notice of absences may result in a temporary suspension of services like sign language interpreting, CART, and/or supplemental note-taking.
