Compulsory Exhibitor Information Form - YES! Youth Energy Summit 2025

Compulsory form for all exhibitors: Please note this form must be completed by a senior person within the exhibiting company and submitted by the date indicated in the Exhibitor Manual. Exhibitors will not be able to set up their booth until this form has been completed and submitted.

It is a condition of entry into the exhibition that every exhibitor, supplier, contractor, sub-contractor and their agents agree to comply with the Health and Safety Regulations and site rules. The exhibitor representative signing this form accepts that it is their legal and moral responsibility to ensure that their own and others health & safety is not put at risk by their actions (or inactions) during the event.

Shell Scheme - This structure will be set up by the official event contractor. It will include Shell walls, nameboard, carpet, electric socket, lights, table and 2 chairs.

Space Only - The exhibitor will be provided with a space on the exhibition floor. The exhibitor is responsible for appointing a competent contractor to build their stand.

2. HEALTH & SAFETY DECLARATION

Exhibition Rules and Regulations

I have received and read the Event Exhibitor Manual with the enclosed Health and Safety information and agree to abide by its contents.

Staff Competency

I will ensure that our stand staff and contractors are sufficiently instructed and trained in matters relating to Health & Safety in order to carry out their tasks competently. I will ensure they are aware of the potential risks present onsite and will provide them with a copy of the manual regulations.

I am aware that during build and breakdown times anyone working or checking on the stand must be wearing adequate personal protective equipment. This includes a high visibility jacket and thick soled safety shoes (Trainers, Sandals, etc are not suitable).

I am aware that this year there is a shorter build up period and overnight tear down. I will ensure that our stand is designed to be built within the scheduled time.

I am aware that this year there is an overnight breakdown. I will ensure that our contractors are aware and that they provide a sufficient number of well-rested staff to complete the breakdown process safely. Tiredness can cause accidents.

Security

I understand it is the exhibitor’s responsibility to ensure no valuables are left unattended during the build, open and break down periods of the event.

Waste Management

I am aware that charges may apply if waste from my stand is left behind following build up or breakdown.

Frieght & Deliveries

I am aware that the organisers and its contractors are NOT responsible for any items sent directly to the venue, rather than using the official freight and logistics contractor.

I am aware no items should be left unattended on my stand for collection during break down. Exhibitors must stay with their equipment until it is collected from their stand by the official contractor or external couriers.

Risk Activities

I confirm that our planned exhibits/ demonstrations and work practices offer no significant risk to either ourselves or others on site.

Please note that you or your stand contractor will need to submit a suitable and sufficient Risk Assessment covering these and other risks identified.
