Position: Document Controller
Location: Old Harbour, St. Catherine
Job Description:
The Document Controller at Whim Development Company Limited is responsible for managing and maintaining all controlled documents within the company. This includes ensuring that files, records, and documents are organised, up-to-date, and accessible to authorised personnel. Working closely with project teams and management, the Document Controller enforces document management policies and procedures, maintaining the company’s standards for quality, security, and consistency.
Key Responsibilities:
Document Management and Control
- Organise and manage the document control system for accurate filing and easy retrieval of documents.
- Distribute controlled copies of approved documents and drawings to relevant team members.
- Update, manage, and track document revisions, keeping current records of document versions.
- Conduct periodic audits of document control procedures for compliance with company standards.
Document Distribution and Retrieval
- Coordinate distribution of documents and ensure timely submissions from departments.
- Facilitate document retrieval for internal and external use, including audits and inspections.
- Respond to Requests for Information (RFIs) with prompt, accurate document delivery.
Compliance and Quality Control
- Ensure all documents meet Whim Development Company Limited’s quality and regulatory standards.
- Maintain confidentiality of sensitive information, limiting access to authorised personnel only.
- Participate in training and updates related to document management software and policies.
Support for Project Documentation
- Assist project teams with the preparation, archiving, and management of project-related documents, such as contracts and reports.
- Support team members in accessing documents and provide training on document control procedures.
Improvement and Reporting
- Identify opportunities for improvement in document control procedures to enhance efficiency.
- Prepare reports on document control activities, tracking submissions, approvals, and revisions.
Requirements:

Qualifications:
- Bachelor’s degree or equivalent experience in document control, records management, or administration.
- Previous experience in a document control role, ideally in the engineering or construction industry.
- Proficiency with document management software (e.g., Google Drive, SharePoint, EDMS).
- Strong knowledge of document control standards and best practices.
Asset Qualifications:
- Certification in records or document management.
- Experience with automated document control systems.
- Strong organisational skills and attention to detail.
- Effective written and verbal communication skills.
- Ability to work independently and manage time in a fast-paced environment.
