a.    I am responsible for the setup and take down of my booth.

b.    Event Producers are not responsible for any damage, lost, or stolen goods (full details in the Market ‘Terms and Conditions’.

c.    I give the Event Producer permission to use any images/logos for advertisements for the Event.

d. I will provide two (2) weeks notice if I have to cancel due to unforeseen circumstances.

e.    I will abide by the setup timelines and guidelines provided to me via email.

f.    I will not make or permit any statements in writing, verbal, or social media platforms to damage the reputation of the Event Producer, but, I can freely advertise the Event in a positive manner so long as the details are accurate.

g. I understand that if I do not provide two (2) weeks cancellation notice and no-show on the day of the event, I will lose my opportunity to participate in future events.

h.    I understand that registration includes a 10x10-foot space on the street. Any additional items needed for your booth, including tables, tents, canopies, chairs and display items are to be supplied by the Market Vendor.

i.    I understand that I must have a 25-pound weight for EACH leg of the tent and securely fastened to the frame of the tent.

j.    I understand that I will receive setup instructions and other pertinent event details to the email provided above at the beginning of September 2025. Failing to stick to the timeline may result in a forfeiture of your place in the Event.

Art in Motion Street Festival Market Vendor Terms and Conditions


The City of Medicine Hat (the “Event Producer”) is pleased to welcome you (as a “Market Vendor) at the Art in Motion Street Festival on Saturday, September 13, 2025 (the “Event”).


The Event Producer will:


1.    Produce the Art in Motion Street Festival on 1st Street SE between to take place on September 13, 2025, open to the public from 12:00 p.m. – 5:00 p.m.

2.    Provide a 10x10 space for Market Vendors positioned on the roadway which will be closed to vehicles during this time. The Event Producer reserves the right to designate table booth assignments and to modify them if deemed necessary.

3.    Produce and distribute promotional material through social media, posters, and other media with public services announcements.


In order to participate in the Event, all Market Vendors must agree with and abide by the following Terms and Conditions:


4.    Market Vendors agree to provide two (2) weeks cancellation notice should they have to cancel their registration. If the Market Vendor does not provide appropriate notice and does not show up on the day of the event, acknowledges their may be a fine and loss of opportunity to participate in future events.

5.    Market Vendors must provide their own tables, chairs, display equipment & Wi-Fi. Power is not provided, and generators are not allowed.

6.    Market Vendors agree to release the Event Producer, its officers, officials, employees, contractors, agents and elected officials, and the merchants of 1st Street SE, from any liability for any damage, loss, theft, breakage or injury to property or persons.

7.    The Event Producer will not be liable whatsoever if the festival is disrupted due to any act of God, strikes, statutes or any case beyond the Event Producer’s control. This is an outdoor event, rain or shine and the Event Producer will not be held responsible for shelter, alternate indoor sites or alternate dates in the case of inclement weather or reasons out of the Event Producer's control.

8.    The Market Vendor further agrees to indemnify, defend and hold harmless the Event Producer, and all their officers, officials, employees, contractors, agents and elected officials from and against any and all actions, suits, claims, proceedings, liabilities, damages, costs (including solicitor and client costs) and expenses in connection with any loss, property damage, or personal injury (including death) whatsoever arising from the Market Vendor’s use or occupation of facility except to the degree that such loss, property damage or personal injury is caused by the negligent acts of omissions of the City.

9.    Market Vendors must unload at the time as listed on the Market Vendor set up instructions (which will be provided to you in early September by email) and load out at 5:00 p.m. and shall adhere to parking instructions. The Market Vendor is strongly encouraged not to dismantle before 5:00 p.m. Market Vendors must be situated at booth location by no later than 12:00 p.m.

10.    Market vendors must keep their assigned area clean and tidy with extra stock and personal items stored under tables, behind skirting and out of public view. Any signs, banners, rubbish, refuse, garbage, paper, posters, bottles, cans or other must be removed immediately after the event is held.

11.    Registration and agreement of these terms as a Market Vendor have deemed you the business owner, part of the Art in Motion Street Festival.
