BEECN Journal Entry

Please use this form to update us on the status of a BEECN resource (which can be an equipment cache or orange kit radio). A VISUAL CHECK of a BEECN cache should be confirmed monthly (no need to open the cache). An INVENTORY of the BEECN caches should be done quarterly. Each BEECN cache and orange kit should be TESTED at least once a year.

Taking an inventory with this form

Each inventory line below includes instructions on how to take the inventory and a checkbox. If the inventory of that item checks out, please check the box. Otherwise, use the notes field at the bottom of the form for you to input information about missing or damaged cache equipment.


If you need to see what an item looks like, you can find pictures in the BEECN Caches wiki page.

  1. If the cache is on wheels, are the tires inflated?
  2. Is the cache door or lid opening and closing correctly?
  3. Is the lock working well?
  4. If there is a chain, is it fully intact?
  1. Does the handheld BEECN radio appear to be in good condition?
  2. Are batteries cleared from the radio? If there are any batteries, please remove them and look for corrosion.
  3. Are there a total of at least eighteen (18) AA batteries available?
  4. If you have time, load batteries into the radio and switch the radio on to verify there is power. Then, remove the batteries.
  1. Is the canopy frame in the box?
  2. Is the red canopy top in the box?
  3. Are the four white sidewalls in the box?
  4. If you have time, deploy the canopy. Has the canopy fabric collected any mold? Are there any holes in the canopy? Is the frame in good condition?

Ensure that the cache includes one each of the following items:

  1. SKED (in a bright orange bag) + one MegaMover OR two MegaMovers
  2. Eton CRC FRX 1 Survival Radio
  3. UCO Lumora LED Lantern OR Nebo lantern OR a flashlight
  4. 12" Carboard extremity splints (qty. 6)
  5. 18" Carboard extremity splints (qty. 6)
  6. 24" Carboard extremity splints (qty. 3)
  7. 36" Carboard extremity splints (qty. 3)
  8. Roll-up dry erase sign
  9. Pole antenna (cache SW-32 only)
  10. Red hard hats (qty. 2)

Check to make sure notebooks are in good condition, not moldy, etc. One of the notebooks will also have a pencil pouch and the inventory of that appears below.

* Check expiration date. PBEM follows Portland Fire & Rescue guidelines and uses items for one year past marked expiration dates. Do Not keep truly expired items for “back up”, throw them out because they may not have the needed strength or potency to be effective. Batteries are an exception to this rule since they often last far beyond the marked expiration date.

Is the inside of the cache dry and free of garbage? Some things that should never be stored in a BEECN cache:

  • Food
  • Water
  • Drugs (not even aspirin or ibuprofen)
  • Syringes

Please tell us if any cache equipment is missing and/or damaged, or in need of replacement because they are a year past the printed expiration date. Please leave this field blank if there are no problems.

BEECN Test Rating*

How strong was the signal coming in (or, how well could you hear incoming messages)? If you were at a fire station and taking in messages from several BEECNs, select the average from the list below. Indicate "1 - No signal" if you got all the equipment set up and the radio turned on, but you couldn't pick anyone up on the other end. Indicate "0 - Test Fail/Abort" if an equipment failure or some other circumstance prevented you from getting on the air.
