Terms & Conditions:
Application for trade stand: All applications for the trade stand must be made by completing the booking form and by paying the appropriate deposit. The booking form must be signed (THIS IS THE TYPED SIGNATURE ON THIS FORM) by the exhibitor, such signature being an acceptance of these general terms and conditions. The booking form, these terms and conditions, then once booking is accepted the Exhibitor Manual and Show Pack all constitute a legally binding agreement and will be the entire contract between the Horticultural Trades Association (“HTA”) and the exhibitor.
All applications for a trade stand must be made on or before 31 May 2024. HTA may, in its sole discretion, decide to accept any late applications.
A maximum of 4 stands will be allocated to a brand/company but HTA may, in its sole discretion, allocate more stands per brand/company if the appropriate applications have been submitted.
HTA cannot be held responsible for the non-arrival of booking information. If you have not heard from us within 14 days of submitting your booking form, then please contact the HTA Events Team on 0333 0033 550 or email events@hta.org.uk.
Right to refuse: HTA reserves the right to refuse any application, whether received prior to the closing date for applications or not, and is not obliged to give any reason for such refusal. HTA also reserves the right to cancel any application which may have previously been accepted, and to request the removal of any exhibitor if their stand is not of sufficient quality or contains materials likely to cause offence. There shall be no obligation on HTA to provide reasons for exercising its aforementioned discretion.
Payment of Trade Stand Fee: A stand deposit payment is required upon booking and paid under invoice terms. Invoices for the remaining stand balances will be issued on Friday 1 March and are to be paid under invoice terms. Bookings made on Friday 1 March will not be eligible to pay for a booking in deposit and balance form. and will be billed the total amount upon booking acceptance.
Public Liability Insurance: Exhibitors must have current (covering the show period) public liability insurance in place. Exhibitors must provide HTA with up to date evidence of their public liability insurance, failure to provide all necessary information by the deadline set within the Exhibitor Manual could prevent you from exhibiting at the Show.
Allocation of Trade Stand: Please note that trade stands cannot be selected, as stand allocation is carried out by the HTA. HTA reserves the right to re-position any stand at any time before or during the show. HTA does not offer exclusivity of any product or service and does not undertake to limit the number of stands selling or showcasing similar or identical products.
Cancellation of Trade Stand Booking by Exhibitor: Cancellation of a trade stand booking by an exhibitor for any reason whatsoever, must be made in writing to events@hta.org.uk and any cancellation will forfeit the deposit already paid.
The following refunds will be applicable if total has already been paid:
Up to 31 December 2023, refund of 50% of the stand costs; and 1 January 2024 onwards: no refund.
HTA reserves the right to re-let the cancelled space as soon as HTA receives the cancellation notice from the exhibitor.
Cancellation or alteration of the show by HTA: HTA reserves the right to cancel or to alter the show to an equivalent standing at any time. In the event that the HTA cancels or postpones the show, liability by HTA to the exhibitors will be restricted to the stand fee(s) paid and HTA will not be responsible for any transport, accommodation or other costs and expenses incurred by exhibitors.
Stand set-up and dismantling: Stand set-up (build up) is on Tuesday 18 June 2024. On the set-up day the venue is open between 10.00 – 18.00. Exhibitors wanting to come to the venue outside these times should apply to HTA for permission in writing to events@hta.org.uk.
The dismantling of trade stands must not take place before 16.00 on Thursday 20 June 2024. All trade stands and equipment must be removed from the venue no later than 19.00 on Thursday 20 June 2024.
Sub-letting or sharing of stands: No sub-letting or sharing of stand space is allowed unless agreed with HTA. Any exhibitor sharing a stand will be requested to the leave the show and will forfeit all fees paid.
Nuisance: Exhibitors are not allowed to use any public address equipment and HTA will stop any activity that may cause a nuisance or is deemed by HTA to be offensive to neighbouring exhibitors or the public.
Health and Safety: All stands will be expected by the Exhibition Organisers to ensure compliance with current health and safety and fire safety regulations.
Disclaimer of Liability: HTA and its officers shall not be responsible for any accident, damage or loss, however caused, that may occur to any exhibitor, or his staff or any article or property brought onto the venue brought by the exhibitor. Each exhibitor shall indemnify HTA from and against all actions, suits, expenses and claims on account of any damage or injury however caused.
General conduct: Any abusive or threatening behaviour by an exhibitor or an associated person of an exhibitor may result in the exhibitor being removed from the show and their stand being closed for the duration of the show.
Exhibitor Mandatory Forms: Failure to provide all necessary information by the deadline set for any Mandatory Form including but not limited (CDM, Insurance, RAMS and Show Guide Entry) could prevent you from exhibiting at the Show. In relation to the Show Guide Entry, you will have the option as a 2023 exhibitor to repeat your entry in 2024. Failing to submit an entry, HTA will use the contact information entered on this booking form as your show guide entry.
Under 18's: This is a trade event and strictly no under 18s will be admitted, including babies in arms.
