for Affinity Groups

This form is for THPRD staff seeking to start a new Affinity Group. The information you provide here will help THPRD support your new Affinity Group and connect future members to your group. You can learn more about the current THPRD Affinity Groups here.

Click here to see examples of types of Affinity Groups. If your group starts as a broadly identifying group, such as a BIPOC or LGBTQ+ Affinity Group, you have the option to reorganize into more specific Affinity Groups any time after the group’s first year.

Establish a name for your group that best represents your affinity group and activities. This name might be the same as your shared identity or interest entered above, or you all might decide on a name that is an acronym or especially catchy.


Group Members and Organizer

Each Affinity Group must start with at least 3 total members, including the group’s Organizer. All members are responsible for promoting their group and reviewing group marketing materials with THPRD’s Employee Resource Group Coordinator, Lindsay Lambert.


Lindsay can also help connect Affinity Groups to potential members and promotional opportunities.

Group Organizer Responsibilities

Your Affinity Group should have one group Organizer who receives 3 hours of paid time per month to complete the following tasks:

  • Coordinate monthly group meetings
  • Serve as your Affinity Group's main contact
  • Communicate with the THPRD Employee Resource Group coordinator about group activities


The group Organizer should commit to serving in their role for at least one year, but the group may choose to nominate a new Organizer any time if needed. After 2 years, the group should nominate the same or a new group Organizer.

Group Member Responsibilities

  • Group members receive 2 hours of paid time per month to participate and support an Affinity Group.
  • Staff may only be a member of one Affinity Group at any given time.
  • Members have no term limits, and any member or Organizer may stay in a group as a member indefinitely as long as they maintain respectful conduct within the group.


Supervisor Approval

Each new member, including the group Organizer, should communicate their interest with their supervisor and receive supervisor approval before submitting this form and attending any Affinity Group meetings. This helps supervisors support and allow participation based on staff availability and arrange staff schedules as needed. As you list the group’s members here, please check YES for individuals who have received supervisor approval or check NO for individuals who are unsure about having the discussion with their supervisor and have more questions before approaching their supervisor.

Activities

It’s time to get creative about what activities your group is planning and THPRD wants to offer resources to support your group. Identify an achievable group activity for the year that supports your Affinity Group members. Consider starting small and easy, because your groups can continue to build your activities over time.

  • Create a support-group atmosphere for your group with refreshments and snacks
  • Host a speaker to discuss restorative justice and ancestral healing in the workplace
  • Coordinate a THPRD Latina staff Learn & Lunch about the challenges and rewards of working in government with a panel of Latina community leaders
  • Organize a THPRD bilingual Veteran’s display with personal profiles, art, and more


Each group will be asked to fill out an annual survey (every June) about their completed activities to acknowledge and celebrate the group’s work.
