Field Trip Policy Agreement
Please read the following field trip policies carefully.
Cancellation policy: Cancellations must be submitted in writing to BTA no later than 14 days prior to the scheduled field trip date before 4:00 pm. If the cancellation is received on or before 14 days prior, then the client will be eligible to reschedule their field trip to a later date. Cancellations received after the 14-day window of the scheduled field trip will not be eligible to reschedule and will not be refunded the $25 deposit.
Minimum student policy: In the event that the fifteen (15) student minimum is not met, the client will pay a minimum of $135 for guided trips and $105 for self-guided trips, in addition to any extra chaperones.
Late policy: In the event that field trip participants are late, BTA reserves the right to adjust the field trip to best fit the scheduled timeline. All participants must arrive at the same time to begin their field trip. Latecomers will not be eligible to receive the reduced field trip rate and must pay full admission. Field trips end promptly at the scheduled end time regardless of the time the field trip party arrives.
Weather policy: BTA field trips are rain or shine. Only in extreme weather conditions such as thunderstorms, tornado warnings, or monsoons will the field trip be canceled by BTA staff. Your field trip will be eligible to be rescheduled at no extra cost only if it is canceled by BTA staff.
Pet policy: Please leave dogs and other pets at home to promote a conducive learning environment. Service animals are always welcome.
Extra chaperone policy: Chaperones that exceed the one chaperone per five student ratio must prepay the school the extra chaperone fee of $10. Otherwise, they will be charged full admission at the admissions booth.
Conduct: Participants are expected to follow all field trip guidelines for the entirety of their visit. In the event of misconduct, the client may be asked to leave and/or banned from future BTA field trips.
Payment: Payment is due upon receipt. Failure to pay may impact your school to book field trips in the future.
