Please read the following before proceeding:


WORKSHOP MATERIALS


Workshop organizers/facilitators are responsible for all materials that will be needed for the workshop (handouts/printouts, software, etc.).


Workshop facilitators are responsible for arranging for all of the materials necessary for the workshop to be shipped starting July 1, 2024 and arriving at the University of Kentucky Department of Chemistry by July 19, 2024. Workshop materials need to be sent to the following address.

We recommend that you send material using Registered U.S. Mail, FedEx, or UPS so you can track the package yourself. If a workshop involves chemicals, workshop facilitators are expected to follow the proper OSHA/EPA/DOT guidelines for the transport of chemicals.


Workshop facilitators are responsible for arranging for all non-chemical materials (hand-outs, activities, etc.) left at the end of the workshop to be shipped back to their institution, home, company, etc. Please have pre-paid US Mail or UPS mailing labels prepared prior to coming to the 28th BCCE. Materials left at the University of Kentucky will be discarded.


The University of Kentucky or the 28th BCCE will not ship open chemical containers back to facilitators' home institutions. Quantities of chemicals purchased for the BCCE must be in the smallest quantities necessary to run the workshop.


If a workshop involves chemicals, workshop facilitators are responsible for the preparation and proper disposal of all chemicals necessary for the workshop. The 28th BCCE will provide a preparation area. The workshop preparation area will be available July 26 to July 28, 9:00 AM to 4:00 PM. We will post the hours of operations of this room for other days of the 28th BCCE.


Common laboratory glassware, equipment, and preparation materials will be available for you to use. The available equipment and other supplies are listed at the end of the University of Kentucky guidance document.


If you provide us with a list of materials and equipment needed well in advance of the workshops, we will TRY to accommodate your request. Chemical demonstrators will follow the same “Safety Regulations” for working with chemicals as the workshop organizers and facilitators.


If workshop facilitators need to make copies of hand-outs at their expense, there is a copy facility located at various campus locations, https://www.uky.edu/dsc/.


Upon arrival to campus, workshop facilitators should contact April French, bcce2024@uky.edu, to arrange to retrieve items that were shipped to the University of Kentucky. Please include in the subject line: Workshops, with your name and workshop number.


The 28th BCCE committee will provide some student helpers to assist the workshop facilitators with reasonable tasks associated with unloading equipment & material from a van, setting up & taking down workshops, and loading equipment and materials into a van, if a request is made to have student helpers. Carts will be provided.


Workshop facilitators must adhere to the UK parking regulations and not block or park in any loading zone or loading dock. UK parking tickets incurred by workshop leaders are the responsibility of the workshop leader.


Workshop facilitators who are using computers, software, and multi-sync projectors should plan to arrive on campus starting Friday morning, July 26, in order to test and troubleshoot their software, computers, and multi-sync projectors.


Workshop facilitators should start arriving on campus by Friday, July 26 and must be on campus at least 24 hours before their scheduled workshop in order to complete preparations.


Uber/Lyft and DoorDash operate in Lexington, if a workshop facilitator needs to purchase supplies or materials from locations off-campus. Target and Kroger grocery stores are a short walk from campus. The workshop facilitator is responsible for paying for the needed supplies.


Workshop facilitators are responsible for returning the room they are using to good, clean condition at the end of their workshop.

Please include the CAS number(s) for the chemical in parentheses after the chemical name(s)

Please briefly describe your demonstration procedure, identifying any potential health or physical hazards involved and evaluating the risks for incident/injury. Include appropriate safety precautions to protect against the hazards and reduce risk to all participants.

Please provide a written list of all safety equipment (i.e. engineering controls and/or PPE) needed for the preparation, presentation, and clean-up of the workshop/demonstration.

The University of Kentucky Department of Chemistry will provide workshop leaders with access to a chemistry lecture and lab preparation area. These spaces will be available from 9:00 AM to 4:00 PM on July 26, 27, and 28, prior to the start of the conference for on-site preparation and practice, once attendance of one of the mandatory Chemical Safety, Disposal of Chemicals, & Information sessions is completed. Additional hours will be posted by the Workshop Chair.


The preparation facility will include:

  • access to deionized water
  • access and use of normal glassware and measurement devices (balances, graduated cylinders, etc.)
  • labels for use on all containers
  • access to gloves while preparing and presenting chemical demonstrations
  • appropriate waste containers.


There will be a secure room for you to store your prepared chemicals. A list of the standard laboratory equipment and common chemicals that we will be able to provide is listed below. If you need something not listed, contact April French, Workshop Chair, to see if it can be provided. Minimum PPE is required at all times in the prep labs, demonstration facilities, and workshop rooms.

Supplies, materials, chemicals etc. must be shipped after July 1, 2024 and arrive no later than July 19. The University of Kentucky does not receive packages on Saturdays and Sundays.


Ensure proper packaging and secondary containment for the safe transport of all chemicals to and from off‐site locations. Materials of Trade (MOT) exceptions to Department of Transportation requirements allow for the transport of certain hazardous materials without a license or shipping papers provided certain guidelines are met. There are strict limits on the amounts of material, depending on the hazard. Please note: No chemical waste may be poured down the sink drain as a means of disposal. All waste must be collected in appropriate waste containers and disposed of through consultation with BCCE Safety Chair, April French.

Required documentation for workshops:

  • A written statement of the known potential hazards, handling problems, etc., for each workshop/demonstration
  • A written list of the safety equipment needed to be present during the preparation, presentation, and clean-up of the workshop/demonstration

  • A written plan for disposing of all wastes generated by each workshop or demonstration [ Other waste must be disposed of through consultation with BCCE Safety Chair, April French.]

I have read the list of required documentation and have included all requested information with this submission. Any additional necessary documentation, not submitted via this form will be submitted by April 19, 2024.

I am familiar with and have been trained on lab safety procedures consistent with OSHA's Lab Safety Standard 29 CFR 1910.1450 and any other rules or regulations specific to the demonstrations that I have proposed. I have reviewed the University of Kentucky guidance document policies and procedures for safe work in laboratories, including critical selections from its Chemical Hygiene Plan .

I will attend a Chemical Safety, Disposal of Chemicals, and information session at the University of Kentucky before presenting my demonstration, presentation, or workshop.
