Driver Authorisation Terms and Conditions
This form is used to capture and record your responses to the conditions of use of the Faculty of Sciences, Engineering and Technology (SET) vehicles.
Overview
All users of SET faculty vehicles must be aware of and follow these instructions. Which includes; conditions of use, what to do in an emergency, managing hazards and the use of the booking system.
Faculty of SET vehicles are made available to support SET teaching and research activities for staff, postgraduate students, approved external users and undergraduate students if approved by their supervisors.
Faculty vehicles are not available for private use.
Private vehicle use for University activities is discouraged and must be approved by your supervisor. Drivers authorised for private vehicle use must follow all requirements of this process except vehicle bookings; fuel & roadside assistance; and charges for use. Private vehicle form
Externally-hired vehicles may be booked through Avis (car/bus) or Complete Ute and Van Hire (4WD/Ute/bus).
Conditions of Use
• All faculty vehicles must be used in accordance with the University Motor Vehicles Procedures.
• Drivers are responsible for ensuring they have a current licence, appropriate for the vehicle.
• Drivers, must ensure any other person driving the vehicle, are also authorised to drive SET vehicles.
• Failure to adhere to these conditions of use may, result in the revoking of authorisation to use SET vehicles.
• The following practices are prohibited in faculty vehicles:
- Smoking and or vaping
- Driving when driver is impaired by fatigue, or by consumption of alcohol or drugs, whether legal or illegal and prescribed or non-prescribed
- Carrying passengers unconnected to University business
- Driving dangerously or without due care
• Any driver found guilty of driving under the influence of alcohol or any other substance, or found guilty of dangerous driving or driving without due care, may be subject to disciplinary action.
• The faculty accepts no liability for any tolls, traffic or parking offenses. Traffic infringements related to any vehicle use and expiation of any fines or costs must be met by the driver in charge of the vehicle at the time of the infringement. Failure to expiate any fine or cost may lead to disciplinary action.
• Drivers of faculty vehicles must be aware that they reflect the University image in the community and all effort should be made to protect this image. Conduct should be in accordance with the University Behaviour & Conduct Policy or student code of conduct, as applicable.
• Pets are not to be taken in faculty vehicles, unless the transport of the animals is directly associated with University business.
• There is a motorcharge card for fuel purchase, attached to the keys for each vehicle. Please be aware of the FUEL TYPE of each vehicle before filling, using the wrong fuel is an expensive mistake and costs incurred will be the responsibility of the driver and recharged to the nominated project code of the booking. Always return the vehicle with AT LEAST quarter of a tank of fuel.
• When returning the vehicle, consider the next user and always return the vehicle in a manner in which you would prefer to find it for your booking. Vehicles should be returned in a clean and tidy condition inside and out. The motorcharge card can be used for cleaning. Vehicles returned in an untidy condition maybe subject to an additional cleaning cost to the nominated project code.
Emergency and hazards
• All vehicles are fitted with first aid kits and fire extinguisher. If these are used please advise the SET Store staff so that these items can be restocked.
• Drivers of vehicles involved in any collision must not leave the scene until details have been exchanged and the incident has been reported to the police.
• There are forms in the glove box that are to be filled in, in the event of an accident
• Transportation of Goods – ensure items/loads are secured. When transporting dangerous goods refer HSW Handbook Chemical Safety Management.
- Vehicles must not be used to transport cryogenic substances or gas cylinders within the enclosed cabin
• The faculty recommend drivers required to use any 4WD vehicle on difficult terrain, should undertake an approved 4WD training course prior to using any 4WD vehicle.
• When booking a vehicle, consideration should be given to the purpose of the trip and the terrain that will be travelled over. Consideration must be given to the following;
• Acceptable use of the faculty standard passenger sedans and SUV station wagons is limited to use on bitumen and graded dirt roads. They must not be used on difficult terrain, across fields or paddocks or in any other adverse driving conditions including areas with long grass or crops.
• Ensure that the loads are secure, appropriately stored and that items placed on seats are not going to soil the seats
• Consider the following when selecting a vehicle type (A vehicle must not be driven that is beyond your experience or training):
o Road conditions
o Remote travel
o 4WD requirements and recovery potential
o Load type & carrying capacity
o Towing capacity Towing & Trailers –If towing you must check local regulations
Vehicle Insurance
• All faculty vehicles are covered by comprehensive insurance with an excess of $2,000, or in the case of a driver under the age of 21 years or who has less than two years driving experience the excess is $3,000. The faculty will not cover the excess, this will be recharged to the nominated project code of the vehicle booking.
INSURANCE for all university vehicles is with Vero Insurance who can be contacted on 1800 222 043 (Policy number: MSL009390151). A copy of the Motor Vehicle Accident Claim Procedure can be found on the intranet or in the glovebox of the vehicle.
• Drivers under 21 years of age or those who have less than two years of driving experience are strongly encouraged to undertake an advanced or defensive driver training course prior to using any faculty vehicle.
Fuel, Vehicle Faults & Roadside Assistance (RAA phone number: 13 11 11)
• Motorcharge cards are used for fuel, minor repairs and cleaning.
o Cards for Fleet vehicles will be attached to the keys.
o Refer to the University Motor Vehicles Procedures for more details & requirements.
• RAA roadside assistance is available to all Fleet vehicles in the event of vehicle break downs. Call the RAA on 13 11 11, quote the policy number 15009883, vehicle registration, and location.
• Please report all vehicle faults and/or RAA callouts promptly to the SET Store staff.
Privacy Statement
The information you provide will be used to administer your authorisation to drive a University motor vehicle. The University may disclose your personal information including your driver’s licence details to relevant third party law enforcement bodies.
