My rigged banner is a custom designed and built banner using timber / metal construction materials:*
My rigged banner is a pre-manufactured lightweight Aluminium frame with a fabric / pvc infill and I confirm that no modifications have been added.*

This means the banner will be declared non-complex. If modifications to this rigged banner have been made, I understand that an engineers review and complex fee payment will be charged on site.

Meeting Suites

We have trained and made our stand staff aware of the hazards to be expected on site. We have read and are committed to following the Health & Safety and the Stand Rules & Regulations of the IBC Exhibition Manual. We have completed a Risk Assessment and warrant that our exhibits, demonstrations, and work practices will cause no significant risk to either ourselves or others on site. The Risk Assessment is available on request.

We are using a third party Appointed Contractor (other than the event official supplier) for construction within our Meeting Suite e.g. wall cladding, partitions, bespoke fixtures, fittings etc. and have included details of the erection and dismantling - see below regarding Appointed Contractors.

Space Only Stands and Outdoor Exhibits

We have read the Health & Safety and the Stand Rules & Regulations (and the Outdoor Exhibits Rules & Regulations section if applicable) of the IBC Exhibition Manual. We are satisfied that our staff are competent to undertake their tasks safely.


We acknowledge that all safety documentation submitted has been forwarded to all staff and sub-contractors involved with our stand build.


The Risk Assessment and Method Statement will be submitted to the organiser once stand approval has been issued.


Stand Plan Submission


1. Detailed technical plans in a recognised scale not less than 1:50 detailing:

• Event name (IBC2024), Stand number & Exhibitor name

• Overall 3D graphic of the stand design

• Plan view, clearly showing all dimensions, walling and major exhibits

• Scaled side and height elevations showing a clear indication of the height of various elements including graphics

• Vision panels in all storage and/or meeting room doors

• Platforms – height, materials and details of wheelchair access ramp dimensions

• Any rigged structures including dimensions and height of the rig

• Any hanging banners including their dimensions and hanging height from the floor


2. Detailed information about the materials being used including up to date fire resistance certificates.

Additional Requirements for Double Deckers

If you are building a Double Decker stand (incl. any stand with a viewing platform or stage 600mm or higher), you are required by law to submit a second set of plans to RAI Amsterdam Licenses Desk to obtain a Double Decker Build Permit. Once approved by Abraxys, fully detailed and scaled plans with points 1-4 above and including the below additional information must be submitted to RAI Licenses Desk, the official double decker structural technicians for the event. A Double Decker Build Permit fee will be charged by RAI Licenses Desk. Should RAI Licenses Desk request any modification to your design, any additional costs incurred as a result will be the sole responsibility of the exhibitor.


4. Distribution plans of both levels of the construction (if not included with the above documents).


5. Calculations of the main structure which must include the following:


• Full structural calculations of all build elements, taking into account the maximum floor loadings of the exhibition floors.

• Details about the load transmission of pillars to the exhibition floor of any upper surface.

• Details about the maximum horizontal impact strength of any walling or handrail element (should be minimum 1kN per m).

• Author of the calculations, title, date of drawing & full contact details.


As per points (1) - (3) above, you are required to submit the ground level plan view and the upper storey level plan view together with elevations and a 3D graphic of the stand.


All documentation for Double Decker stands must be submitted via the Double Decker Permit Application for structural approval to the RAI Amsterdam Licenses Desk.


IBC, the RAI Amsterdam and their approved Structural Engineers reserve the right to request structural calculations, approved pre-show or onsite, for any stand structure at the event should they deem necessary.


Double Deck Acknowledgement Form

Notification of Double Decker construction should be made to the Organisers at the time of stand space application. The Organisers reserve the right to determine if a site is suitable for Double Decker construction. Therefore, it may not be possible to grant permission for double deck construction in a location that has been previously allocated for single storey construction.

A surcharge will be applied for the upper deck area. The calculations for the charge are based on the total square meterage taken up by the physical construction elements forming the upper deck, including stairs, balustrades, walling and all other manner of physical construction elements on the upper deck whatsoever. The charge is based on 25% of the floor space rate at time of booking. The definitive size of the upper deck will be determined by the Licensing Officer at the RAI Amsterdam.

Submission of Stand Design Plans

Once approved by Abraxys, fully detailed and scaled plans along with additional structural calculations must be submitted to RAI Licenses Desk, the official Double Decker structural technicians for the event. A Double Decker Build Permit fee will be charged by RAI Licenses Desk. Should RAI Licenses Desk request any modification to your design, any additional costs incurred as a result will be the sole responsibility of the exhibitor.


Once you have been granted a ‘Permission to Build’ certificate by Abraxys (and the written confirmation from RAI Structural Engineer for additional Double Decker inspection), no alterations can be made to the drawings submitted. The Organisers and the Venue or their approved Structural Technicians reserve the right to request structural calculations and approvals pre-show or onsite for any stand or structure at the event should they feel it to be necessary. Submission of Health & Safety Documentation

Submission of an adequate Risk Assessment, Method Statement and Working at Heights Form to ensure that Health and Safety issues are identified and addressed prior to the event. Submitted documents must be followed and all persons involved must be competent to undertake the work and have read and understood the method statement, risk assessment and erection sequence(s).


Details of preventative safety measures for all works at height via the Working at Heights form - the construction of the second level itself including the flooring, as well as all construction carried out on the upper level. This form should be completed by the person supervising the work on site. Work on Double Decker construction will not be allowed without this documentation and without adequate preventative safety measures in place.


A completed Method Statement must be submitted via the Method Statement form or similar template identifying a safe system of work. All persons involved with the construction of the stand shall be competent to undertake the work and have read and understand the method statement and erection sequence(s).


A Risk Assessment must be completed in conjunction with the contractors erecting and dismantling the stand to cover the activities surrounding the build stage of the stand together with the activities undertaken at the stand during the exhibition and during the dismantling stage. An assessment of risk is nothing more complicated than a careful examination of all the elements and practices associated with your stand, which could cause harm to people. The aim is to make sure that no one gets hurt or becomes ill by taking all practicable, foreseeable precautions to prevent them.


Work onsite will be checked against this information and will be stopped where it does not comply. Dangerous work practices will not be tolerated, and persons may be removed from the venue if necessary. “Live" or "open-edge" working is prohibited. Work on an edge will only be allowed as a strictly temporary measure to be kept to a bare minimum and only with the provision of additional safety measures such as fall restraint or arrest systems. As much of the construction as possible including decking and handrails should be completed at floor level and raised to minimise live edge work with fall arrest systems. PPE - Personal Protective Equipment

Hard hats, hi-vis vests and steel toe-capped boots are mandatory PPE during exhibition build-up and breakdown.


Any workers found lacking in the appropriate level of PPE will be told to rectify or leave the work site.
