2019 Conference Services Reservation Application

Welcome to Conference Services in University Housing!

We are excited about hosting your group on campus during the Summer 2019 season. Please carefully read all information below to ensure your group’s stay on campus is seamless.

Conference Housing will be available from May 15 – August 2, 2019. Limited reservations will be accepted from 05/15/2019 – 06/08/2019. Due to academic year needs, no extended stay requests will be accommodated. Reservation applications are due by March 4, 2019. Applications will not be processed without all required information. Building space will not be held without a completed application.

Timeline/Planning Information:

The primary administrator will receive a confirmation once the application has been processed. In early/mid April, the Conference Services Contract and Senior Conference Ambassador information will be sent via email to begin the final planning process.

The group administrator will act as the liaison between the group and Conference Services.

Please provide as much information as you can about your arrival and departure dates. For the staff dates, this is referring to staff that is living in halls with the participants in the camp or conference - for instance, some staff arrives a day early for training before participants arrive.

Buildings are assigned on a first come, first serve basis. If the desired building is not available, a comparable building will be offered.

Please choose which level of linen service your group will need.

The Fulbright Dining Hall is the primary summer dining location. However, Brough Commons may be utilized depending on attendee numbers and overall conference needs. Please select the preferred dining hall for your group. Selecting your desired hall does not guarantee availability. Please designate on-campus meals by indicating the number of guests who will eat each meal. 75% of the meals during the group's stay must be in the dining hall or catered by Chartwells.

ON-CAMPUS participants will receive a lanyard at check-in for dining hall admittance.

COMMUTER participants will receive an administrator designated number of meal tickets for dining hall admittance.

Housing's Conference Services offers classroom space in the residence halls. Please let us know what hall you would like to use for classroom space, if at all.

Classroom use will be determined on a first come, first serve basis and may be unavailable due to academic year upgrades or usage.

If classroom space is not requested in advance, there is not a guarantee it will be available at the time of the group's stay.

Below information will appear on invoice issued at the end of the group's stay.
